Bulk and corporate ordering
Bulk and corporate orders are where the per-item cost drops, because branding setup spreads across more units. If you are ordering year-end gifts, staff apparel, event kit, or campaign merchandise, we will build the order to your budget and headcount.
For larger orders above N$50,000, we work on a 70% deposit within 24 hours of invoice to secure stock, with the balance before delivery. This protects your stock and production slot on high-value runs.
A few things that help corporate buyers: - Send your headcount and budget per person, and we will match products to both. - Book seasonal orders early. Year-end gifting has to clear before the December shutdown, so October is not too soon. - We can quote against a tender or procurement spec if you send us the requirements.
Reordering and repeat branding
Repeat orders are faster because the hard part is already done. Once we have produced your branding, we keep your approved artwork and setup on file, so a reorder skips straight to production once you confirm quantities and payment.
That means quicker turnaround and consistent branding across every run, which matters when this year's staff shirts need to match last year's. Just reference your previous order when you reorder, and we will pull the artwork.
If your logo or details have changed, send the update and we will refresh the layout for your approval before we produce.

Artwork formats and specs
The best artwork is a vector logo file: AI, EPS, PDF, or SVG. Vector files scale to any product without going blurry and give the sharpest branding across every method.
If you only have a PNG or JPG, send it anyway. We will tell you whether the resolution is high enough to use, or whether it needs redrawing into vector first. The catch worth knowing: a low-resolution file taken from a website or social profile often limits which branding methods will look clean, so it is worth sorting early rather than at the deadline.
A few practical tips: - Send the highest-quality version of your logo you have. - Include your brand colours as Pantone references if you have them. - Tell us if you need the logo on more than one product, so we set it up correctly for each.

Branding methods explained
We manage branding across several methods, and the right one depends on the product, the finish, and the quantity. Here is what each does.
- Screen printing: ink pushed through a stencil. Best for apparel and flat surfaces in medium to large quantities. Bold, durable, cost-effective at volume.
- Embroidery: your logo stitched into the fabric. A premium, hard-wearing finish for caps, golf shirts, jackets, and corporate wear.
- Pad printing: transfers your logo onto small or curved hard items like pens, mugs, and tech.
- Sublimation: dye infused into the material for full-colour, edge-to-edge prints. Good for polyester apparel and full-colour products.
- Laser engraving: etches your logo into metal, wood, or glass for a permanent, upmarket finish on drinkware, pens, and awards.
- Wraps (360): large-format vinyl for gazebos, banners, vehicles, and display units.
You do not need to know which to pick. Tell us the product and the look you want, and we will recommend the method that suits it and your budget.
Choosing the right branding method
Most branding questions we get are really the same question in disguise: "which method is right for my order?" Here is how to answer it yourself, and where it is worth asking us directly.
The three questions that decide it
- What is the product made of? Fabric, hard plastic, metal, glass, or a large flat surface each suit different methods.
- How many are you ordering? Some methods have a fixed setup cost that only makes sense at volume. Others are efficient even on a single unit.
- What does the finish need to say about your brand? A basic giveaway and an executive gift should not be branded the same way.

The catch worth knowing
Here is what most branding guides skip: the "best" method on paper is not always the best method for your order. A screen-printed logo on 15 shirts costs more per shirt than the shirts themselves, because the setup fee barely spreads across so few units. Embroidery on a single cap costs roughly the same whether you order one or ten, because the setup is proportionally smaller. Quantity changes the right answer, not just the price.
What this looks like in practice
- A Windhoek startup ordering 15 branded T-shirts for a launch is often better served by a smaller embroidered detail (like a chest logo on a cap) than a full screen-printed design, purely on cost-per-unit.
- A mining supplier in Walvis Bay ordering 200 branded hi-vis vests gets screen printing at a genuinely low unit cost, because the setup spreads across the whole run.
- A corporate ordering 40 executive gift sets for year-end leans toward laser engraving on drinkware, because the permanence and finish match the gift's status.
When artwork limits the choice
Your logo file also narrows the options. A low-resolution image works fine for embroidery, because stitching does not need a sharp vector. The same file will look rough under sublimation or a large wrap, which need clean, scalable artwork to hold up at size. If your artwork is not vector, tell us the product first; it changes what we recommend.

Colour matching
We match your brand colours as closely as the product and print method allow. For the best result, give us your Pantone (PMS) references rather than asking us to match by eye.
Here is the honest part: colour can shift slightly between your screen, the digital proof, and the final printed item. Different materials and methods absorb ink and light differently, so the same logo can look marginally different on a matte tote bag versus a glossy mug versus an embroidered cap. This is normal in branding, not a fault.
If exact colour accuracy is critical, tell us upfront and we will advise the method most likely to hold your colours, and flag anything the material cannot reproduce exactly.
The proof and approval process
Before we produce anything, we send you a digital layout showing exactly how your branding will sit on the product. Nothing goes to production until you approve that layout in writing.
This is the most important step in the whole order, because it is where mistakes get caught while they are still free to fix. Check three things carefully: - Spelling and wording, including phone numbers and web addresses. - Colours against your brand. - Placement and size on the product.
Once you approve the layout, it becomes the standard we produce against. If the finished product matches the layout you signed off, that is considered correct, so take your time at this stage. If you spot something after approval, tell us immediately, but be aware that changes may not be possible once production has started.

Collection can save both cost and time on Windhoek orders, since you skip the freight step. For coastal and northern customers, delivery is usually the practical choice.
Delivery areas and charges
We deliver across Namibia. From our Windhoek base we reach the Khomas region, the coast at Walvis Bay and Swakopmund, the north including Oshakati, Ondangwa, and Rundu, and other towns on request.
We run an efficient supply chain to make this happen: as soon as products arrive in Namibia from major suppliers like Amrod, we collect them on the same day, process them at our Windhoek office, and dispatch them via trusted local couriers like Nampost to all regions.

Delivery charges depend on the order size, weight, and destination, and are shown on your quote or invoice. Coastal, northern, and bulky deliveries carry higher freight because of distance and handling.
Upcoming Feature: In our next website update, we will be rolling out full API integrations with our courier partners. This means it will soon be easy to get a real-time, full quote for delivery charges directly on the website during checkout.
A couple of practical notes: - Bulky items like gazebos and display units may need special delivery arrangements. - Power banks and certain goods that cannot be air-freighted travel by road, which can extend the timeline.
Give us the delivery town when you enquire so we can quote freight accurately and plan the timeline around it.
Turnaround and rush orders
Standard turnaround is typically 7 to 12 working days from the date of approved artwork and cleared payment, depending on the product, branding method, and your delivery location. That excludes weekends, Namibian and South African public holidays, and our December shutdown.
Two things start the clock: your artwork approval and your payment. The faster those happen, the sooner your order moves, so getting the logo sorted early is the single biggest thing you can do to protect a deadline.
Windhoek and central deliveries sit at the shorter end of that range. Our supply chain is structured for speed: once products from our major suppliers like Amrod arrive in Namibia, we collect them the same day and bring them to our Windhoek office. From there, local Namibian couriers (like Nampost) pick up the orders to ensure fast distribution across the regions. Selected items, including embroidery, can be produced locally in Windhoek, which shortens the timeline further, and we are steadily growing that local capacity so more of the range benefits over time.

Real-Time Delivery Notifications
You will always be notified about the exact or estimated date for your delivery. For all online orders, our website already calculates and shows how long something will take to be delivered based on the branding methods chosen, displaying the exact delivery times upon checkout. For manual orders, our team will advise you of the exact lead times via direct order notifications.
Rush orders are often possible for events. Tell us your in-hand date before you order and we will confirm in writing whether we can hit it. If you are not sure, message or call us before you commit. We would rather give you an honest answer upfront than miss a deadline you never told us mattered.
One Namibian reality to plan for: coastal and northern deliveries take longer by nature, and a few items like power banks cannot be air-freighted at all. We build that into the timeline from the start.
Ordering And Quote
How to place an order, get a quote, and make changes.
Changing or cancelling an order
You can change or cancel an order, but the stage it is at determines what applies. This matters because branding is custom work, and once it starts it cannot be undone.
- Before branding approval: cancelling a confirmed order incurs a 15% handling fee on the order value, to cover supplier restocking and admin.
- After artwork layouts are produced: a layout fee of N$150 per layout applies.
- After you approve artwork and branding has started: the order cannot be cancelled.
If you need to change quantities, products, or branding, tell us as early as possible. Before production we can usually adjust; after approval we cannot.

How to place an order or get a quote

We aim to come back with a clear quote and a firm timeline the same or next working day. The quote separates the product cost from the branding setup, so you see the full price before you commit.
To speed things up, include your branding and a logo file (a vector file is best), and the delivery town so we can plan freight for coastal or northern orders. If you are not sure what product will work, describe the occasion and budget and we will suggest options.
Once you approve the quote, we confirm the order, issue an invoice, and prepare artwork for your approval before anything is produced.
Minimum order quantities
There is no minimum order at Promoworx. You can order a single branded item or thousands. A startup that needs five shirts is as welcome as a corporate ordering a thousand year-end gifts.
Here is the operational reality worth knowing: while there is no minimum quantity, branding has a setup cost per method and design. On very small orders that setup is spread across fewer items, so the price per item is higher. On larger orders it spreads out and the per-item cost drops.
That does not mean small orders are not worth it. It means the quote will show you the setup and the unit cost clearly, so you can decide what makes sense for your budget.
How long a quote is valid
Quotes are valid for 14 days unless we state otherwise on the quote itself.
Prices can change after that because promotional pricing depends on supplier stock, exchange rates, and quantities. If your quote has expired, just ask us to refresh it. If anything has moved, we will tell you before you commit.
To lock in pricing and stock for time-sensitive orders, approve the quote and we will confirm the order and secure the stock on payment.
Payment and Pricing
Payment methods and when payment is due
Standard orders are paid in full up front, before we secure stock and start branding. Orders only move to production once payment has cleared in our account.
For larger corporate orders above N$50,000, we work on a deposit: at least 70% within 24 hours of invoice to secure stock, and the remaining 30% before final delivery or collection.
Payment is by EFT to our bank account, with details on your invoice. For online store orders, payment is handled at checkout through our payment provider.
Why upfront? Branded goods are made specifically for you and cannot be resold, so securing payment protects both the stock and your production slot. It is standard across the promotional industry.

What affects the price
A branded order has two parts: the product cost and the branding setup. Our quotes show them separately so you can see what you are paying for.
The main drivers: - Quantity. Branding has a setup cost per method and design. On small runs that setup is spread across fewer items, so the per-item price is higher. Larger runs bring the unit cost down. - Branding method. Screen printing, embroidery, laser engraving, and sublimation each carry different setup and run costs. More colours or more print positions add cost. - The product itself. A premium item or an imported line costs more than a standard local one. - Artwork. If your logo needs redrawing into a usable format, a small artwork charge may apply. - Delivery. Weight, size, and destination affect freight, especially for coastal and northern orders or bulky items.

Samples and stock availability
To give you the most accurate planning, our website will give real-time stock availability for each and every product all the time. If an item is low or needs importing, we tell you the lead time up front so it does not surprise your deadline. Our live integration ensures that you can always see exactly what is in stock before you decide to buy.
Samples can often be arranged for larger or repeat corporate orders where you want to check quality before committing. Ask us when you enquire and we will let you know what is possible for the specific product.

Returns and Support
What to do if something is wrong, and how returns work.
Something wrong with an order? Email info@promoworx.com.na within 24 hours of receipt with photos.
Damaged or faulty goods
Inspect your order as soon as it arrives. If anything is damaged, short, or incorrect, report it to us in writing within 24 hours of receipt, with photos where possible. We will arrange a repair, replacement, credit, or refund for the affected items.
If a product turns out to be mechanically or functionally defective, report it within 5 days of receipt. Once we have confirmed the fault, we will repair, replace, or credit it.
This covers genuine defects and supply errors. It does not cover normal wear, misuse, or damage that happens after delivery.
The quicker you tell us, the quicker we can fix it, so check your order on arrival rather than the week of your event. Full detail is on our Returns and Refunds page.
Returns and cancellations
Branded, personalised, and made-to-order goods are produced specifically for you, so they cannot be returned unless they are faulty or were supplied incorrectly. This is why the artwork approval step matters so much: it is where errors get caught before production.
We do not accept returns of correctly supplied goods, branded or unbranded, simply because of a change of mind. Where we agree to an exception at management's discretion for standard unbranded stock, a 35% restocking and handling fee applies and the goods must be unused and in original packaging.
Some items are non-returnable except where faulty: consumables, PPE, memory sticks and electronics, items requiring assembly, and clearance items.
